TITLE: Reservations Associate                            

REPORTS TO: Reservations and Office Manager

STATUS: Full Time; Non-Exempt

BASIC FUNCTION: The Reservations Associate will perform work relating to guest group and Program registrations, manage inventory for the Massanetta gift and snack shop, and assist in tasks related to mailings, invoicing, and other financial aspects of our ministry.  In all that this position does, the employee will seek to support our mission to be, “a place for all people to experience God through renewal, discovery, and hospitality.”

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • As assigned by the Reservations and Office Manager, be primary contact for Massanetta guest and program groups facilitating all aspects of their arrangements, and keeping up with all relevant correspondence.

  • As assigned by the Reservations and Office Manager, perform data entry functions for key guest and program groups assigned to ROM.

  • As assigned by ROM, lead site tours for potential and returning groups.

  • Alongside Assistant Bookkeeper, serve as primary answerer to incoming calls.

  • Keep up with inventory of Gift Shop (including snacks) advising ROM when items need to be purchased.

  • Recruit, train, and schedule front desk volunteers.

  • Serve as secondary expert for registration software (currently Campwise).

  • Attend weekly arrangements meetings led by Director of Operations and Administration to be sure all details for guest and program groups are met.

  • Represent Massanetta Springs at events with partner organizations as required.

  • Work with Director of Operations and Administration and ROM to assure timely invoicing and collection of fees from program and guest groups.

  • Work with ROM to collect past due fees from program and guest groups.

  • Update (at least weekly) the Welcome Slide Show playing in the Historic Hotel Lobby.

  • Other duties as assigned.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Education: Associate degree or some college preferred, but not required.

  • Experience: Experience in a relevant position (2-3 years preferred), preferably in a non-profit setting (camp and/or conference center a plus)                       

  • Skills & Qualities: High level of proficiency in computer software/applications including but not limited to Microsoft Office, Adobe Suite, and social media outlets for business purposes, alongside an ability to learn programs specifically related to Massanetta Springs’ operations.  Demonstrated ability to plan, organize and train volunteers; strong communication skills (oral and written); people friendly, self-motivated, team focused; able to meet deadlines and delegate responsibility. 

  • Work Schedule:  This is a full time non-exempt position, which will require evening and weekend work.

  • Salary/Benefits: Salary commensurate with experience. Employer pays 50% of the Member Only rate for medical insurance through the Board of Pensions after successful completion of a 90 day probationary period. Employer match on participation in 403(b) retirement plan.  Meals on-site when they are served in the dining hall. Vacation, Paid Holidays and Sick Leave.

  • Required License / Certification:  Current, clear license to operate a vehicle.

  • CPR/First Aid is a plus, but not required for hire.
